Depending on your relationship with Twyning Manor, we may hold your name, address, email address and telephone number, together with information about your property and its occupancy.
We may also hold leaseholder, shareholder and director information; information required for Companies House and the company's statutory records; service charge, payment and accounting records; correspondence; and information relating to maintenance, insurance, fire safety, health & safety and the general management of Twyning Manor.
Where relevant, we may also hold emergency contact details that have been voluntarily provided, information used to provide access to the Resident Information Hub, and images or footage captured by our external CCTV system.
We aim to collect only information that we reasonably need.
We use personal information to manage and maintain Twyning Manor and its communal areas, communicate with leaseholders and residents, administer service charges and company finances, arrange maintenance and repairs, manage insurance and safety requirements, and meet our legal and regulatory responsibilities.
We also use information to maintain shareholder, director and other company records, complete required Companies House filings, provide access to the Resident Information Hub and help maintain the security of Twyning Manor.
We do not sell personal information or use resident information for commercial marketing.
We process personal information where it is necessary to meet our legal obligations, fulfil obligations connected with the management of Twyning Manor and its leases, or pursue our legitimate interests in properly managing and securing Twyning Manor and administering Twyning Manor Management Company Ltd.
Where we specifically rely on your consent, you may withdraw that consent.
We only share personal information where there is a genuine need to do so. This may include sharing relevant information with Companies House, insurers and insurance brokers, accountants, solicitors and conveyancers, contractors and service providers, emergency services, regulatory authorities and other professional advisers.

Most company records are securely stored electronically using Google services, including G Suite.

Some information, including statutory company, shareholder, accounting and property records, may need to be retained for longer periods as part of the company's permanent or legal records. Information that is no longer required will be securely deleted or disposed of when appropriate.
External CCTV is used at Twyning Manor for the security and protection of residents, visitors, the building, grounds and property. CCTV may capture people, vehicles and vehicle registration numbers.
Footage is normally retained for up to 60 days and access is restricted. Relevant footage may be retained for longer where it is required in connection with an incident, insurance claim, investigation or legal matter.
Data protection law gives you a number of rights over your personal information. Depending on the circumstances, you may have the right to ask what personal information we hold about you and receive a copy of it, ask us to correct inaccurate information, ask us to delete or restrict the use of information in certain circumstances, object to certain uses of your information, or withdraw consent where we are relying on consent.
